Toppers Wing (“Toppers Wing”, “we”, “us” or “our”) operates the website topperswing.com and the Toppers Wing mobile application (together, the “Platform”). We are a NEET coaching institute based in Kota, Rajasthan.

This Privacy Policy explains what personal information we collect when you use the Platform or enquire about our courses, how we use it, who we share it with, and the choices you have. By using the Platform or submitting an enquiry, you agree to this Policy. If you do not agree with this Policy, please do not use the Platform or submit your details to us.

2. Information we collect

2.1 Information you give us

Enquiry / callback form: Full name, phone number, email address, course of interest, your message
Admission and registration: Student name, parent or guardian name and contact number, date of birth, class/board, previous exam scores, address, photograph, and ID proof where required for admission or scholarship tests
Student login / app account: Login ID, password (stored in encrypted form), batch and course details, attendance, test scores and performance reports
Careers page: Name, contact details, resume, qualifications and work history
Fee payment: Payment reference, transaction status and the details required to raise a receipt. Card, UPI and net-banking credentials are entered on the payment provider page. We do not collect or store them
Communication with us: Records of calls, WhatsApp messages, emails and counselling notes

2.2 Information collected automatically

When you visit the Platform we and our service providers may collect your IP address, browser type and version, device and operating system, referring page, pages viewed, time spent, and approximate location derived from your IP address. This is collected through cookies and similar technologies (see Section 6).

2.3 Information from other sources

If you reach us through an advertisement, education portal, coaching fair, school tie-up or a referral, we may receive your name and contact details from that source so we can respond to your enquiry.

3. How we use your information

We use personal information to:

respond to enquiries, arrange callbacks and counselling, and share course, fee and batch details;
process admissions, scholarship or entrance tests, and maintain student records;
deliver our teaching services, including classes, test series, doubt sessions, study material, performance reports and mentorship;
create and secure your account on the website and the app;
process fee payments and issue receipts;
send you service messages by SMS, WhatsApp, email or call, such as schedules, test dates, result updates, fee reminders and notices;
send information about new batches, courses and offers where you have consented to receive them;
assess job applications received through the Careers page;
analyse how the Platform is used so we can improve it;
detect and prevent fraud, misuse and security incidents; and
comply with law and with our legal, accounting and regulatory obligations.

We do not sell your personal information to anyone.

4. Legal basis and consent

We process your personal data on the basis of the consent you give when you submit a form, register, or continue using the Platform, and where processing is necessary to provide the services you have asked for or to comply with Indian law, including the Digital Personal Data Protection Act, 2023 and the rules made under it.

You may withdraw consent at any time by writing to care@topperswing.com. Withdrawing consent does not affect processing already carried out, and we may not be able to continue providing certain services once consent is withdrawn.

5. Students under 18 and parental consent

Many of our students are school students below 18 years of age. Where a student is a minor, the personal data is provided and the consent given by a parent or legal guardian, and we correspond with the parent or guardian on academic progress, attendance, fees and discipline.

We do not knowingly collect personal data directly from a child without parental or guardian consent, and we do not use children data for behavioural advertising or tracking. If you believe a child data has been provided to us without such consent, write to care@topperswing.com and we will delete it.

6. Cookies and similar technologies

The Platform uses cookies to keep you signed in, remember your preferences, keep the site secure, and measure how the site is used. Some cookies are set by third parties whose tools we use, such as website analytics and advertising platforms.

You can block or delete cookies through your browser settings. If you block essential cookies, parts of the Platform, such as login, may stop working.

7. Who we share your information with

We share personal information only as described below:

Service providers such as website hosting, email and SMS/WhatsApp delivery, payment gateways, analytics, cloud storage and IT support, who may process the data only on our instructions;
Faculty and staff of Toppers Wing, on a need-to-know basis, to teach, mentor and administer your batch;
Parents or legal guardians of a student, for academic progress, attendance, fees and conduct;
Examination and affiliated bodies, where a registration, scholarship test or result verification requires it;
Professional advisers such as auditors and lawyers; and
Authorities, where disclosure is required by law, court order or a lawful government request, or to protect the rights, safety or property of Toppers Wing, our students or the public.

8. Testimonials, photographs and results

We may publish a student name, photograph, rank, score and testimonial on the Platform, in print material and on our social media channels to announce results, with the consent of the student or their parent or guardian. If you would like such content about you removed, write to care@topperswing.com and we will take it down from channels under our control.

9. How long we keep your information

Enquiry and callback details: up to 24 months from your last contact with us, unless you ask us to delete them earlier.
Student academic and fee records: for the duration of the course and afterwards for as long as required for records, certificates and legal or tax obligations.
Job applications: up to 12 months, unless you ask us to delete them.
Website logs and analytics data: normally up to 24 months.

When data is no longer needed, we delete it or keep it in anonymised form.

10. Security

We use reasonable technical and organisational safeguards, including access controls, encrypted passwords, HTTPS on the website and restricted staff access, to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Keep your account password confidential and tell us immediately at care@topperswing.com if you suspect any unauthorised use of your account.

11. Your rights

Subject to applicable law, you may ask us to:

give you a summary of the personal data we hold about you and how it is processed;
correct or update inaccurate, incomplete or outdated data;
delete data we no longer need to keep;
stop sending you promotional messages; and
withdraw consent you have given.

Send the request from the email address or phone number registered with us to care@topperswing.com. We may need to verify your identity before acting, and we will respond within the time allowed by law. If you are not satisfied with our response, you may raise a grievance with our Grievance Officer (Section 13) and thereafter with the Data Protection Board of India.

12. Marketing messages

If you opt in, we may send course, batch and offer updates by SMS, WhatsApp, email or phone. You can opt out at any time by replying STOP to a message, clicking unsubscribe in an email, or writing to care@topperswing.com. We will still send you essential service messages about your admission, classes, tests and fees.

We aim to acknowledge every complaint within 48 hours and resolve it within 30 days.

14. Third-party links

The Platform links to third-party sites and services, including social media pages, app stores and payment providers. This Policy does not cover those services, and we are not responsible for their privacy practices. Please read their policies before sharing information with them.

15. Changes to this Policy

We may update this Policy from time to time. The revised version will be posted on this page with a new “Last updated” date, and material changes will be notified on the Platform or by email where appropriate. Continued use of the Platform after an update means you accept the revised Policy.
